The problem

Where court facilities quietly lose money

Bookings that are never paid for

When a slot can be held without paying, some players simply don’t pay. Vera Sport in Łódź had around 200 unpaid bookings a month — and zero after making online payment mandatory.

Staff hours spent chasing money

Every invoice, reminder and awkward phone call comes out of front-desk time. At Okęcie Tennis Club in Warsaw, receptionists used to spend 20 hours a week chasing overdue payments.

Opening hours tied to the staff rota

If someone has to unlock the door and take payment, courts are only open when you can staff them. KS Zakręt in Warsaw runs its weekends with no staff on site, using online payment and automated door access.

Day to day

What sports facility management actually covers

Running courts is six jobs at once. Here is what each one involves — and how Playmore handles it.

Court scheduling

Casual play, regular weekly slots, coaching blocks and events all compete for the same courts — without clashes.

In Playmore: Players book 24/7 in the Playmore app or on the web, regulars get fixed weekly slots, and reminders go out by push, SMS or email.

Staff-free access

Letting the right people in at the right time, including early mornings and weekends when nobody is on the desk.

In Playmore: Door and court access opens after payment, via a Loxone integration in production at KS Zakręt, Warsaw.

Payments and cancellations

Taking money before the slot, dividing it between players and deciding what a late cancellation or no-show costs.

In Playmore: Require online prepayment for every booking — card, Apple Pay, Google Pay or a payment link — with split payment and a player wallet.

Programmes and coaching

Courses, junior academies, holiday camps, private lessons, leagues and tournaments, all on a shared timetable.

In Playmore: Courses, academies, camps, coach schedules and coach booking, plus leagues, tournaments and open games for finding partners.

Passes and packages

Regulars expect a pass or a bundle of hours, and someone has to keep track of what is left on each one.

In Playmore: Sell passes and packages and issue discount codes from the same account as your bookings.

Reporting across venues

Revenue by court, by hour and by site — not a single monthly total that hides empty mornings.

In Playmore: Revenue reports with RevPACH and a utilisation heatmap, with several venues and sports in one account.

Metrics

Four numbers every facility operator should track

Monthly revenue tells you how the business did. These tell you why — and they work the same way whether you run four courts or forty.

Utilisation

Booked court hours ÷ available court hours

The basic health check for any facility. Look at it by court and by hour of the day: a busy evening average can hide courts that sit empty every weekday morning.

RevPACH

Court revenue ÷ available court hours

Revenue per available court hour combines price and occupancy in one figure. It shows whether a discount actually filled hours that would have stayed empty, and lets you compare courts, sports and venues fairly.

Cancellation rate

Cancelled bookings ÷ all bookings

Timing matters as much as the rate. In Playmore booking data, 57% of cancellations happen in the last 24 hours before the slot — usually too late to resell it. A cancellation policy with one clear deadline decides who pays for that hour.

Share of online bookings

Bookings made online ÷ all bookings

A measure of how much work still lands on the front desk. It also tells you how many bookings are paid before the player arrives: when Okęcie Tennis Club went from about 20% to 100% online payments, its unpaid bookings dropped to zero.

Buyer’s checklist

Questions to ask any supplier

  • Can players book and pay from their phone at any hour, without calling the desk?
  • Can you require payment before the slot and set your own cancellation rules?
  • Do courses, coaching and regular weekly slots live in the same calendar as casual bookings?
  • Can door access follow a paid booking, so you can open without staff on site?
  • Does reporting go down to the court hour — utilisation and RevPACH — not just monthly revenue?
  • Can you run several venues and several sports from one login?
  • How long does it take to go live, and who helps you move existing bookings and passes across?
